1. Centralize your member data
The first mistake of almost every association is having scattered information. Member data lives in an Excel file on the secretary’s computer. Paid fees live in the bank account. Activity sign-ups live in a Google form. And volunteers’ phone numbers live in WhatsApp.

2. Automate fee reminders
Chasing 50 people every January to pay the annual fee is unnecessary wear and tear. A management system sends an automatic email 15 days before the due date, another on the due date and a third if they still haven’t paid. You do nothing.
3. Let members manage themselves
Every time a member messages you on WhatsApp to ask for their card, to sign up for an activity or to ask whether they’ve paid their fee, you’re losing 5 minutes. If each member has their own personal area on the association’s website, they can check everything themselves. And you gain hours.
4. Organize volunteering without WhatsApp
WhatsApp groups for volunteer shifts are chaos: 200 messages to decide who covers Saturday. A shift system with a visual calendar lets each volunteer pick their slot and check in from their phone.
5. Prepare the handover
