Biodevas is a socio-environmental association in Asturias that manages 374 members and organises dozens of activities a year: guided walks, tree plantings, workshops and volunteering.
For years, management worked like in almost every association: a spreadsheet for members, loose forms for sign-ups and WhatsApp to organise volunteers.
The problem
- 374 members in a spreadsheet — manual sign-ups, membership fees without tracking
- Sign-ups via Google Forms — no capacity control or waiting list
- Volunteering without a record — hours not counted, no certificates
- Manual communication — every activity was posted by hand on social media
The association was growing, but its management didn’t scale. The secretary’s time went into copying data, not into organising activities.
The solution: Convoca on WordPress
Biodevas was already using WordPress for its website and blog — with 413 published posts building community around its “Sembrando futuro” (“Sowing the future”) tone. Convoca’s ecosystem was added on top of that foundation:
- Convoca Members: the register of 374 members was migrated into the system, with online sign-ups, membership fee tracking and volunteering with logged hours
- Convoca Enroll: activity sign-ups with capacity, waiting lists and QR check-in
- Convoca Gateway: membership fees and donations online without platform commissions
Results
| Metric | Before | With Convoca |
|---|---|---|
| Members | 374 in Excel | 374 in the system with history |
| Sign-ups | Manual | Online via a form |
| Activity sign-ups | No control | Capacity + waiting list |
| Content | — | 413 published posts |
The lesson
You don’t need to switch platforms to digitalise an association. If you already use WordPress, Convoca turns your website into your management system — no expensive SaaS, no learning curves, with your data on your own server.
