Organizing volunteers is one of the most complex tasks any association faces. Unlike employees, volunteers have no fixed schedule, aren’t paid and their availability changes every week. But without them, many activities wouldn’t get off the ground.
The most common mistakes
1. Using WhatsApp for shifts. A group with 30 volunteers where everyone says “I can do Saturday” or “not this month for me” generates 200 messages just to decide 5 shifts. The information gets lost, and in the end the same people always cover.
2. No visible calendar. If the shifts live in the coordinator’s head, when that person is away, no one knows what needed doing.
3. Not acknowledging the effort. Volunteers aren’t paid, but they need to feel their time is valued. If they’re never thanked in a visible way, they end up leaving.
A system that works
- Visual shift calendar: each volunteer sees the available slots and picks the one that suits them best. No asking around, no coordinating over WhatsApp.
- Check-in from the phone: on the day of the shift, the volunteer checks in on arrival. The coordinator sees in real time who has clocked in and who’s missing.
- Automatic reminders: 24 hours before the shift, the system sends a reminder. That way no one forgets.
- Gamification: points for attendance, levels, virtual badges. Something as simple as “silver volunteer” after 10 shifts keeps motivation up.
A volunteer who feels organized and valued comes back. One who gets a message at 10 pm on Friday to cover Saturday, doesn’t. Discover how Convoca organizes volunteering →
