Excel template for members: why you shouldn’t use it

Many associations start out with an Excel sheet. It’s easy, it’s free and everyone knows how to use it. But as the association grows, the spreadsheet that was once a solution becomes a problem.

Why Excel falls short

1. Only the person who built it understands it. The secretary who set up the spreadsheet knows that column H means “fee paid in cash” and that the red colour means “in arrears since 2023”. But when that secretary leaves, their successor inherits an indecipherable file.

2. It doesn’t update itself. Every time a member pays, someone has to open the spreadsheet, find the row and change the colour. If they forget, the data is wrong. And with 100 members, someone is bound to forget.

3. It doesn’t notify anyone. The spreadsheet doesn’t send membership-fee reminder emails. It doesn’t warn you when a member is about to drop out. It tells you nothing. It just accumulates data.

4. It gives members no access. Members can’t check their fee status, download their membership card or update their details. Every time they want something, they have to message you.

5. There’s only one copy. If the secretary’s computer breaks or they lose the USB drive, all the data disappears. And the backup “was going to be made this weekend”.

The alternative
